Position Overview
We’re looking for a Client Services & Workflow Coordinator to help us keep client projects organized, communications clear, and our small team running smoothly. This role combines administrative support, project tracking, and client communication - making it perfect for someone who loves structure, enjoys improving systems, and isn’t afraid to follow up to keep projects on track!

This position starts part‑time with the potential to grow into a full‑time role as we expand.

Key Responsibilities
  • Manage 2–3 company inboxes; respond to client emails and route messages to appropriate team members
  • Maintain company calendar and prevent scheduling conflicts
  • Track active projects; update status and enter new projects from emails or phone calls
  • Follow up on ASAP projects and assist with prioritizing daily/weekly tasks
  • Generate project‑status reports and develop client email templates for various project stages
  • Support client onboarding and outreach efforts, ensuring a smooth client experience
  • Call, email, and talk with clients to assist with scheduling meetings, onboarding, and answering general administrative questions such as: accessing our secure portal, uploading documents, or receiving status updates
  • Assist with workflow system improvements and identify pain points to streamline processes
  • Handle sensitive tax documents with confidentiality and professional skepticism; ensure secure handling and storage
  • Organize and maintain physical filing, scanning, and document intake/outtake
  • Tracking, ordering, and restocking supplies & inventory
  • Other administrative duties as assigned

Qualifications
  • Strong organizational skills and ability to manage multiple priorities
  • Attention to detail and high accuracy in data entry
  • Assertive, comfortable holding team members accountable (with full owner support)
  • Critical thinking and problem‑solving abilities
  • Comfortable working with sensitive financial information
  • Familiarity with (or willingness to learn) workflow/project management tools
  • Must be comfortable calling, meeting, and communicating with clients
  • Education: Formal education is not a requirement for this role — we value skills, accuracy, and eagerness to learn.

Client Services & Workflow Coordinator

Position Overview
We’re seeking an Accountant who can ensure the accuracy of our bookkeeping and payroll processes, perform insightful financial analysis, and assist with tax preparation. This role requires extreme attention to detail and a commitment to professional skepticism—triple‑checking work and safeguarding sensitive financial information.

This is an excellent role for someone who enjoys digging into numbers, spotting outliers, and helping clients understand their finances in simple language. We welcome both seasoned professionals and those eager to grow into the role.

Key Responsibilities
  • Verify monthly bookkeeping completed by in‑house bookkeeper
  • Cross‑check payroll numbers before submission against internal reports and emails
  • Analyze monthly and year‑over‑year financial reports; identify outliers and clarify causes with clients or team members
  • Meet with clients to discuss bookkeeping or tax concepts in a clear and approachable way (training available)
  • Enter initial tax data into preparation software
  • Maintain extremely high data input accuracy (≥ 99.5%) with triple‑checking and professional skepticism
  • Handle sensitive financial information with confidentiality
  • Adapt quickly to new systems/software (e.g., project tracking tools, tax software)
  • Draft client‑facing emails with impeccable grammar, spelling, and personalization (e.g., names, pronouns)
  • Demonstrate emotional intelligence and compassion, particularly when clients face hardship or life changes
  • Research bookkeeping & tax concepts or law changes and draft 1-page executive summaries to share with the team

Qualifications
  • Strong background in accounting, bookkeeping, or payroll (tax firm or HR experience a plus)
  • High level of data accuracy and critical thinking
  • Ability to explain financial concepts to non‑experts or willingness to be trained in client communication
  • Familiarity with UltraTax, QuickBooks, Gusto, ADP, or ProSeries (preferred but not required)
  • Comfortable working with sensitive data and maintaining strict confidentiality
  • Organized, adaptable, and willing to learn
  • Proven ability to work independently — e.g., identifying problems, researching answers (including IRS or trusted sources), and making informed decisions.
  • Must be comfortable calling, meeting, and communicating with clients
  • Education: Formal education is not a requirement for this role — we value skills, accuracy, and eagerness to learn.
